What You’ll Learn

  • Efficiently send uncategorized transactions to clients
  • Streamlining client communication for transaction details
  • Automating the month-end close process with Uncat
  • Leveraging Uncat for a clear audit trail of client responses

1. Preparation Steps

Before connecting Uncat, ensure you have these ready:

Required for Setup

  • Active Uncat Subscription
  • Client QuickBooks Online or Xero Admin Access
  • Client Email Contacts for invitations

Optional (but recommended)

  • Standardized Chart of Accounts across clients
  • Clear internal workflow for transaction categorization

2. Uncat vs. Traditional Methods

You have two main approaches to resolve uncategorized transactions, each with serious pros and cons.

Method A: The Manual Transaction Chase

This involves direct emails, calls, or chat messages to clients.

Pros:
  • It’s ‘free’ (no subscription).
  • Familiar communication.
  • Good for very few transactions.
Cons:
  • Time-consuming & disjointed.
  • Hard to track responses.
  • Delays month-end close.
  • No central audit trail.

Method B: Using Uncat for Automated Resolution

This is a dedicated platform designed for this specific workflow.

Expert Tip: We strongly recommend using Uncat to automate this process. It creates a centralized hub for all client inquiries, drastically cutting down on email clutter and accelerating your month-end close.

3. High-Level Uncat Workflow

This workflow illustrates the streamlined data flow.

Uncategorized transactions from your client’s accounting software (QuickBooks Online or Xero) are pushed into Uncat. Your client then accesses their personalized Uncat portal to provide explanations or categorize these transactions. Once categorized, these updates can be synced back to your accounting software, simplifying your bookkeeping and creating a clear audit trail.

Here is a sample code block to show how an Uncat API call might look for fetching transactions.

  "status": "pending_client_review",
  "transactions": [
    { "id": "TXN-2025-001", "amount": 75.50, "date": "2025-09-15" }
  ]
}

4. Setting Up Uncat

  1. 1

    Connect Your Accounting Software

    Link Uncat to your client’s QuickBooks Online or Xero account. Grant the necessary permissions for Uncat to read transactions.

  2. 2

    Invite Your Client

    Send an invitation to your client to access their specific Uncat portal. This is where they’ll see and respond to transaction inquiries.

  3. 3

    Send Uncategorized Transactions

    Push new uncategorized transactions from QBO/Xero to Uncat. Uncat will automatically notify your client of new items awaiting their input.

Common Error: Client Not Responding

Ensure your client has received the Uncat invitation and understands the value of responding. A quick onboarding call can often make a big difference in engagement.

5. Processing Client Responses
